We’ve all been there—an email pops into your inbox and you know you can’t deal with it right now. Gmail offers a quick fix: hit the little clock icon to “Snooze” it and have it reappear later.
It sounds helpful, right? But here’s the thing—I don’t use it. And after three years of managing my clients inboxes with a simple, reliable system, I wouldn’t go back.
Let’s break it down:
✅ The Pros of Snoozing Emails:
- Out of Sight, Out of Mind (Temporarily): Great for removing distractions and staying focused.
- Inbox Decluttering: Keeps your inbox neat in the short term.
- Flexible Timing: Choose exactly when the message returns—later today, next week, or custom.
⚠️ The Cons (and Why I Don’t Use It):
- False Sense of Progress: Snoozing an email doesn’t solve the problem—it just delays it.
- Risk of Missing Something Important: If your inbox gets busy, that “snoozed” email might return when you’re least ready to deal with it… and disappear again.
- No Built-in Workflow: Snoozing doesn’t help you track follow-ups, responses, or next steps. It’s passive, not proactive.
💡 My Favorite Alternative: Inbox Zero with a Simple, Structured Flow
Instead of snoozing, I rely on a consistent 3-part system that has worked beautifully for over three years:
- Follow-Up – For emails I need to respond to later.
- Waiting – For emails where I’m waiting on someone else’s reply or action.
- Read-Through – For articles, newsletters, or content I want to read—but not now.
This method keeps everything visible and actionable without clutter. No hidden messages. No mental fog. Just clarity and control.
🎯 Bonus Tip: Leave Notes on Emails with This Chrome Extension
Ever wish you could leave yourself a quick note about why you tagged something for follow-up or what exactly you’re waiting on?
Check out the Simple Gmail Notes Chrome Extension.
It’s free, open-source, and one of my absolute favorites for Gmail organization.
Here’s how it works:
- While reading an email, jot down a quick note, reminder, or instruction—just for you (or your Virtual Assistant 😉).
- When you close the email, the note becomes visible in your inbox, highlighted for easy reference.
- It’s 100% private—only you can see your notes. The sender never knows.
This little tool is a game-changer for keeping your follow-up and waiting tags purposeful—and your inbox working for you.
