Most people imagine a virtual assistant working in a perfectly organized digital world.
- Color-coded Calendars
- Emails answered instantly
- Tasks checked off in tidy little boxes
And yes, sometimes it does look like that.
But the truth is, most of my work happens somewhere else entirely.
It happens in the messy middle of growing a business.
The messy middle is where businesses are growing fast, ideas are flying, and the systems haven’t caught up yet. It’s the moment someone realizes they can’t keep doing everything themselves, but they’re not sure what handing things off should look like.
That’s usually where I come in.
What the Messy Middle Looks Like
Most business owners I work with aren’t disorganized people. In fact, it’s usually the opposite.
They’re smart, capable, and full of ideas. They care deeply about their work and the people they serve.
But running a business means wearing a lot of hats.
At some point, these little things start stacking up.
- Maybe the inbox is overflowing.
- Maybe scheduling has become a daily puzzle.
- Maybe there are small tasks that only take a few minutes but somehow keep interrupting the day.
That’s when I start hearing things like, “I have 2,000 unread emails in my inbox and I don’t even know where to start,” or getting a text saying, “I just scheduled meetings on top of each other again.”
None of these things are huge problems alone. But together, they create just enough friction to make everything harder than it should be.
That’s often the moment someone starts thinking, I might need help. And in many cases, that’s when I get the message asking if I can step in.
What I Actually Do as a Virtual Assistant
My role is to step into that messy middle and start bringing some order to it.
Sometimes that means untangling an overwhelmed inbox.Other times it’s organizing schedules so meetings stop colliding and availability becomes clear again.
Often, it’s simply taking the small recurring tasks off someone’s plate so they’re no longer constantly switching gears throughout the day.
None of these things are dramatic changes on their own. But together, they create breathing room.
When those background tasks are handled, business owners can focus on their clients, their ideas, and the parts of their work they actually enjoy.
And more often than not, their days start to feel manageable again.
Why I Love This Work
One thing I’ve learned since becoming a virtual assistant is that behind every business is a real person doing their best to keep everything moving.
They’re balancing ideas, responsibilities, clients, and goals. They’re trying to grow something meaningful while still handling the day-to-day details.
Helping with those details might not always be flashy, but it matters.
Because when the right things are taken care of behind the scenes, everything else starts to run a little smoother.
And I genuinely enjoy being the person who helps make that happen.
Over time, I’ve also noticed there are a few signs that someone might be in that messy middle stage of business.

None of these things mean you’re doing anything wrong. In fact, they’re often signs that a business is growing.
But they can make the day-to-day feel harder than it needs to be.
