Whether you’re running a solo business or juggling multiple clients, your file system should support you—not frustrate you. Before you go creating “just one more folder,” take a minute to check for these four common mistakes that keep Drive users stuck in digital disarray.
1. You’ve Got Too Many Folders
It might feel productive to create a folder for every idea, platform, or possible project, but over time, it just creates noise. When you can’t find what you need quickly, you lose momentum.
What to do instead:
Stick to a handful of top-level folders (three to five is usually enough) that reflect your main business activities. Create new ones only when absolutely necessary.
2. Your File Names Are All Over the Place

4. Your Setup Is Too Complicated
Multiple layers of folders, each with subfolders—and more subfolders inside those? It feels like you’re building a system, but what you’re really building is confusion.
Keep it simple:
Avoid deep nesting. Prioritize findability by using smart file names and shallow folder structures. The goal is to spend less time organizing and more time doing.
